Description:
The Natural History Museum of Los Angeles County seeks a highly personable and proactive professional to provide outstanding administrative support to the Manager and Coordinator of Events and Filming and excellent customer service to potential clients.
Key responsibilities include:
• Promptly responding to calls and e-mails regarding event inquiries
• Providing information to potential clients regarding requirements for facility use
• Tracking/documenting calls and e-mails
• Maintaining and managing an events prospect file for follow-up calls and e-mails
• Maintaining the Master Calendar of internal and external events
• Assisting in the scheduling and arrangement of client and vendor site visits and back-up coordination of museum events
• Coordinating internal event and catering training sessions for Museum staff
• Completing contracts and work orders
• Staying informed of events, public programs, exhibitions, and strategic plans Serving as a liaison between the Events and Filming office and the Finance department, overseeing financial data entry, AP/AR and related functions
• Managing general correspondence, including faxing, mailing site packets, contracts, billing statements, vendor and client information
Responsibilities:
Requires previous sales/customer service experience and MS Office proficiency. Ideal candidate is outgoing and well organized with excellent communication skills. Previous museum experience and a college degree are preferred.
Educational Requirements:
College Degree preferred.
